About the Job:
We are looking to hire a PMO (Project Management Office) Coordinator who will be responsible for supporting the PMO in managing and delivering a portfolio of projects. This includes ensuring project governance, maintaining project documentation, facilitating communication, and tracking project performance. The PMO Coordinator will also assist in resource management, risk management, and ensuring adherence to project methodologies and standards. This role is key to enhancing the efficiency and effectiveness of project delivery within Yusen IT environment.

Delivery:
• Assist in resource planning and allocation, ensuring that the right skills are matched with the appropriate project requirements.
• Coordinate project resources schedules, ensuring efficient allocation and utilization.
• Manage PMO project pipeline data, ensuring accurate and up-to-date information.

Customer Service:
• Facilitate discussions on quality-related matters to ensure alignment and buy-in from all parties involved
• Escalate PMO issues to the Head of PMO as required

Systems / Technology:
• Use systems for continuous monitoring of project quality
• Identify gaps in systems or technologies related to PMO processes

Continuous Improvement:
• Identify areas of inefficiency or potential improvement.
• Propose changes to improve process efficiency and effectiveness.
• Track PMO key performance indicators (KPIs)
• Benchmark PMO performance against internal targets.
• Assist in conducting regular project audits and reviews to ensure compliance with PMO policies and procedures. Generate regular quality assurance reports for management review.

Project Management:
• Stay updated with industry best practices in project management
• Facilitate knowledge sharing sessions to disseminate best practices across the organization
• Gather feedback from project managers, team members, and stakeholders on PMO processes and tools.
• Analyze feedback to identify common issues and improvement opportunities.
• Recommend changes based on feedback to enhance project management practices

Governance and Controls:
• Support the implementation of project management methodologies, standards, and tools.
• Ensure compliance with PMO policies and procedures.
• Monitor and report on project governance metrics.

Team Leadership:
• Foster a collaborative environment where team members feel comfortable sharing ideas and feedback
• Promote continuous learning and knowledge sharing within the team.
• Promote a positive team culture by recognizing and celebrating team successes.

Requirements:
LEVEL OF EDUCATION:
• Bachelor’s degree in business administration, project management, information technology, or a related field.
• Certification in project management (e.g., PMP, PRINCE2) is highly desirable.

RELEVANT EXPERIENCE:
• Proven experience as a Project Coordinator, PMO Coordinator, or in a similar role.
• Familiarity with project management methodologies and tools.
• Experience in managing project documentation, schedules, and resource allocation.
• Experience in tracking KPI data.

REQUIRED SKILLS:
• Strong organizational and multitasking abilities.
• Excellent communication and interpersonal skills, capable of interacting with various stakeholders.
• Proficiency in project management software (e.g., Microsoft Project, JIRA, Trello, Asana).
• Solid understanding of project management methodologies, standards, and best practices.
• Analytical skills to gather and analyze data, identify trends, and make informed recommendations.
• Problem-solving skills and the ability to anticipate and address issues proactively.
• Attention to detail to ensure accuracy in project documentation and reporting.
