Location: Antwerp, Belgium | Yusen Logistics
About Yusen Logistics
Yusen Logistics is working to become the world’s preferred supply chain logistics company. Our complete offer is designed to forge better connections between businesses, customers and communities – through innovative supply chain management, freight forwarding, warehousing and distribution services. As a company, we’re dedicated to a culture of continuous improvement, ensuring everyone who works with us is committed, connected and creative in making us the world’s preferred choice.
Role Overview
At the heart of our European Head Office, we are looking for an Office & PA Manager who brings structure, energy and a genuine passion for creating an exceptional workplace experience.
This is much more than a traditional office management role. As a trusted partner to our European Regional Management Team, you will work closely with senior leadership, anticipate priorities and ensure that meetings, travel, communications and key management activities run seamlessly. At the same time, you will be one of the driving forces behind the day-to-day experience of our European Head Office.
From welcoming international visitors and coordinating leadership meetings to supporting internal communications, managing contracts and fleet administration, you will be at the centre of a dynamic international organisation. Together with our Office Management Assistant, you will ensure our Head Office is professional, welcoming, well organised and truly reflects the culture and ambitions of Yusen Logistics.
Key Responsibilities
• Provide high-level PA and executive support to the European Regional Management Team, coordinating calendars, priorities and travel.
• Organise key leadership meetings, executive events and international visits, ensuring seamless preparation and follow-up.
• Prepare professional presentations, reports, correspondence and management communications.
• Oversee the smooth day-to-day operation of the European Head Office, together with the Office Management Assistant.
• Create a professional and welcoming experience for employees, visitors, customers and business partners.
• Coordinate internal communications and corporate branding, ensuring consistent and professional messaging.
• Manage key administrative processes including contracts, purchase orders, invoices and vendor coordination.
• Coordinate fleet administration for the EU Head Office, including vehicle orders, deliveries, renewals and leasing partner relationships.
What You Will Bring To The Role
• A Bachelor’s degree in Office Management, Business Administration, Communication, Marketing or a related field.
• Relevant experience as a Management Assistant, Executive Assistant, Office Manager or within Corporate Communications, preferably in an international organisation.
• Experience supporting senior management or executive leadership is a strong advantage.
• Excellent planning and organisational skills, with the ability to manage multiple priorities without losing attention to detail.
• A proactive mindset – you anticipate what is needed rather than waiting to be asked.
• Strong stakeholder management skills and the confidence to interact professionally with senior leaders, employees, customers and external partners.
• Excellent written and verbal communication skills in English and Dutch.
• Strong knowledge of Microsoft Office, particularly Outlook, PowerPoint, Word and Teams.
• A professional and discreet approach when handling sensitive and confidential information.
• Good understanding of communication and corporate branding principles.
• A strong service mindset and genuine interest in creating a positive employee and visitor experience.
• Confidence working independently while remaining highly collaborative.
• A practical, solution-oriented approach and the ability to stay composed when priorities change.
• Above all, someone who enjoys being at the centre of an organisation, connecting people and making sure things simply work.
What We Offer
• A highly visible and varied role at the heart of our European Head Office.
• The opportunity to work closely with the European Regional Management Team and senior stakeholders across our international organisation.
• A broad scope combining executive support, office management, communications, contracts and fleet coordination.
• The opportunity to directly influence the workplace experience and professional image of our European Head Office.
• An international and multicultural working environment with exposure across Europe and our Global Headquarters.
• A role with real ownership, where your initiative and ideas can make a visible difference.
• Professional development and long-term career opportunities within a global organisation.
• A competitive salary package, including a company car and additional benefits.
