Role Overview
We are looking for a Receptionist to support the daily operations of our Warsaw office. This role is essential in ensuring efficient office administration, delivering positive experience for employees and visitors, and providing administrative support to local teams. The position will help maintain a professional, well-organized, and welcoming workplace environment. Beyond the local office responsibilities, this role offers the opportunity to work as part of an international Cluster East
Administration team, supporting cross-country cooperation and regional projects across Poland, Czech Republic, Hungary and Romania.
Key Responsibilities:
• Act as the first point of contact for visitors, clients, and employees, providing a professional, welcoming, and hospitality-driven experience.
• Handle day-to-day reception duties, including incoming calls, mail, courier services, and general enquiries.
• Welcome and assist international visitors, guests, and business partners, ensuring high standards of hospitality and service.
• Coordinate meeting rooms, visitor arrangements, catering, and office events.
• Support the smooth day-to-day operation of the office, including office supplies, facilities coordination, and cooperation with the landlord, vendors, and service providers.
• Maintain administrative records, support invoice processing, and ensure proper document management in line with company procedures.
• Provide general administrative support as required.
What You Will Bring To The Role:
• Previous experience in office assistant, customer service, or similar role.
• A professional, service-oriented attitude with a strong focus on hospitality and creating a positive experience for visitors and guests.
• Excellent communication and interpersonal skills.
• Strong organizational skills and attention to detail.
• Ability to manage multiple tasks and priorities in a dynamic office environment.
• A proactive and reliable approach to work.
• Good knowledge of Microsoft Office applications, particularly Outlook, Word, and Excel.
• Ability to communicate confidently in both Polish and English.
• Discretion and a high level of professionalism when handling confidential information.
• Valid Category B driving license with practical driving experience
